Seller Policy
Sellers listing inventory in a "Buy Now" condition or for sale via the PartStore are responsible for the accuracy of their listings, technical information, pricing, and any Seller warranties if applicable. The Seller is responsible for all segments of the transaction, including but not limited to:
- Buyer purchase order terms and conditions
- Order acknowledgement
- Fulfillment
- Packaging
- Shipping
- Export Compliance
- Quality Assurance
- Warranty Administration
- Dispute Resolution with the Buyer including payment, shipping, returns, refunds
The PartStore Seller policy outlines general policies, rules, and guidelines for Sellers listing inventory on the PartsBase PartStore. All sellers are responsible for being aware of and compliant with these items. Failure to adhere to the PartStore Seller Policy may result in account suspension or termination from the PartStore program.
Code of Conduct
These policies provide the basis for creating a safe and fair Marketplace for both sellers and customers. All Marketplace sellers will:
- Act fairly and respect customers, other sellers, and PartsBase associates.
- Provide accurate and current account and item information to customers and PartsBase.
- Not divert customers or transactions.
- Strive to meet the Seller Performance Standards.
- Adhere to all Marketplace Policies
Seller Performance Standards
Seller Performance Standards ensure high-quality and consistent customer experiences on PartsBase Marketplace. Sellers are required to comply with the following standards:
- Cancellation Rate: Percentage of orders that you cancel after receiving an order from “Buy Now” in the PartsBase Locator or PartStore. Maintain a rate of less than 5% Annually.
- On-Time Delivery Date: The percentage of orders delivered on or before the Expected Delivery Date. Maintain a rate of > 95%.
Seller Obligations for Customer Service
PartStore Sellers must provide customer service and support for all orders transmitted to your account through PartsBase.
When an order is placed via the PartStore, the Seller will receive an order notification including but not limited to:
- Order Number and Date
- Part number, Description, Condition, Price
- Buyer’s Name, Address
- Buyer’s Ship to Address
Upon receipt of the order, you should immediately verify the order and shipping details to process the order. You may respond to customers' requests for information about a product both before and after a sale. You may also receive customer communication forwarded by PartsBase.
Marketplace sellers must comply with the following:
Maintain an accurate email address, physical address, and phone number in the PartsBase database
Respond to all Buyer and all PartsBase inquiries within 48 hours, with high-quality responses. Please note that auto-reply messages do not constitute a high-quality response.
PartsBase Customer Care
Without limiting the Marketplace seller's obligations for customer service, PartsBase may in its discretion take customer service actions for the benefit of customers, including without limitation canceling orders, issuing refunds, processing returns, or making other customer service adjustments.
Returns and Dispute Resolution
A Buyer may request a return via the PartStore. PartsBase will notify the Seller of any Buyer requests for return and will ask the Buyer to contact the Seller directly for returns or any dispute resolution.
Shipping Requirements
Do not knowingly mark an order as shipped without sending the item.
Tracking numbers must be accurate, valid, and only communicated to PartsBase once a package has been tendered to the carrier for shipment.
All attempts to increase the sale price of a purchased item after a Buyer order has been completed are prohibited and may result in suspension or account termination.

PartsBase makes available the following TWO shipping methods to Buyers:
- Buyer Freight Account: The Buyer selects their shipment provider and speed by selecting their service level and providing their shipping account:
- UPS
- Next Day Air Early
- Next Day Air Saver
- 2nd Day Air
- Ground
- FEDEX
- First Overnight
- Priority Overnight
- Standard Overnight
- 2 Day AM
- 2 Day
- Express Saver
- Ground
- UPS
- Flat Rate Seller Shipping: For a seller designated Flat Fee, the seller may ship the item on the Seller shipping account.
PartsBase strives to provide timely order status updates to customers. When sellers ship the item, we pass the tracking information on to the customer. Lengthy processing times may trigger Customer Care contacts, prompt order cancellations, and create a negative customer experience.
Sellers are required to ship orders by the end of the next business day (0- or 1-day lag time) unless other arrangements have been made with the Buyer.
We don't require sellers to use any specific carriers or carrier service levels to support the specified transit times within each shipping method. It is important, however, that sellers meet customer expectations regarding the Expected Delivery Date.
Tax Collection and Remittance
Definitions
"Marketplace Facilitator" means a business or organization that contracts with third parties to sell goods and services on its platform and facilitates retail sales. Marketplace facilitators enable these sales by listing the products, taking the payments, and collecting receipts. PartsBase is a Marketplace Facilitator for the PartStore.
"Marketplace Facilitator Law" means a set of state laws that shifts the collection and remittance obligations from a third-party seller to the Marketplace Facilitator on sales sold by third party-owned goods on its platform. In certain States, local taxes are not included within Marketplace Facilitator Legislation; PartsBase is not responsible for those taxes.
"Marketplace Seller" means a business or organization sells products or services through a Marketplace Facilitator and makes retail sales of tangible merchandise through a marketplace owned, operated, or controlled by a Marketplace Facilitator.
"MFL Taxes" means Taxes imposed under Marketplace Facilitator Laws.
"Non-MFL Taxes" means Taxes imposed on the sale of products which a Marketplace Facilitator is not required by law to collect.
"Tax" or "Taxes" means federal, state, and local sales and use tax, gross receipts tax, excise tax, product tax, and any other tax or fee that is levied on a sale of certain Products by federal, or state or local taxing jurisdiction, including, without limitation, electronic waste recycling fees, and bottle fees.
"Tax Software" means third-party software that is licensed to PartsBase and used to calculate tax on the sale of products.
Tax-related Terms and Conditions
Taxpayer and Marketplace Seller of Record. With respect to applicable Marketplace Facilitator Laws, www.partstore.partsbase.com is a Marketplace Facilitator. The Marketplace Seller listing material or services on the PartStore is the Marketplace Seller of Record. PartsBase shall collect from Marketplace Seller's customers and remit to taxing jurisdictions applicable MFL Taxes levied on the sale of Marketplace Seller's Products through the PartsBase platform.
Tax Indemnification. With respect to MFL Taxes collected and remitted by PartsBase.com pursuant to paragraph 1 above, if any taxing jurisdiction determines that sales, use or other Taxes (including penalties and interest) are owed by PartsBase.com with respect to the sale of Marketplace Seller Products through the PartsBase.com platform, Marketplace Seller shall indemnify and hold harmless PartsBase.com and its affiliates and their respective officers, directors, employees, and agents for such Taxes, penalties, and interest (including reasonable attorneys' fees) if the basis for the Tax liability arises from Marketplace Seller's failure to assign the correct Tax Designation(s) to Marketplace Seller Product(s.)
Seller Information
PartsBase Marketplace sellers must provide accurate and current business information to PartBase. Such business information includes a valid business name, address, contact telephone number, tax information, and email address. It also includes information regarding the seller's business activities.
For the verification of a W9, Taxpayer Identification, the most additional information will be required such as:
- Tax classification
- Country of incorporation
- Legal business name
- DBA name
- Taxpayer identification number or social security number
PartsBase may verify the information you provide. Verification may also include a third-party verification process.
Annual Verification:
In accordance with the applicable law, certain Marketplace sellers must verify business information every year. These sellers will receive an email to verify their business information, which includes confirming your name, address, contact telephone number and email address are correct or if you need to update the information.
Multiple Seller Accounts
Multiple PartsBase Marketplace seller accounts are prohibited by PartsBase's selling policies. Exceptions to this policy may be made by PartsBase, in its sole discretion. For consideration for a separate account, you must have a legitimate business reason to be considered for a separate account. Examples of a significant business justification include:
- You own multiple brands and maintain separate businesses for each.
- You manufacture products for two distinct and separate companies.
- You distribute through an international trading company to certain countries
Marketplace Referral Fee
Marketplace Sellers will not pay a Referral Fee for products sold on the PartStore. Through our agreement with Stripe, a credit card processing fee of 3.5% will be applied to all orders calculated as a percentage of the gross sales from the sale of each product. An immediate payment to the Seller's Stripe account will be made when the sale is verified as received, less the 3.5%.
Prohibited Products:
All products listed for sale on PartsBase must comply with any applicable local, state, and federal laws and regulations.
PartsBase will remove any product listing that may be in violation of law or its policies. In addition, corrective actions may be taken as circumstances dictate, including suspension and/or termination of a seller's account.
Under no circumstances will the following categories of items be contained within PartsBase: Alcohol, Animals, Art, Artifacts and Antiquities, Baby Products, Cosmetic Products, Healthcare Products, Drugs and Drug Paraphernalia, Food Products, Funeral Products, Home Goods, Jewelry, Offensive Content, Explicit/Adult Content, Inappropriate Content, Tickets, Tobacco Products, Weapons.
